I just received this from Jimmy Le, on behalf of Tom Lee, and wanted to pass it along to everyone. If you will be presenting this year, you will also get a copy of this email. Given that this is the first year with new equipment, I would expect delays and equipment snafus. Perhaps it would be a good idea to consider coming to Atlanta with a Plan B in place, in case something happens with your equipment. Some suggestions might be to provide brief handouts to frame your presentation/discussion should your slides not work, bring copies of your paper's abstract and facilitate small group discussions should your slides not work, or buddy up with someone else to load your presentation onto their laptop in case something happens to yours.
Please do not plan on MSR providing equipment for you. You can't believe what they charge.

Dear Program and PDW Chairs:
I would like to share with you a very important change that the Academy is making to its annual meetings.
Beginning this year in Atlanta, overhead projectors will no longer be provided as part of the standard audiovisual set-up. Instead, in response to longstanding requests, each meeting room will be equipped with an LCD projector. The new standard audiovisual package set up will include:
§ XGA LCD Projector (1024 x 768 resolution)
§ Safelock stand for projector
§ 7-8' tripod screen
§ Power cord
§ VGA switcher
NOTE: Laptops, Overhead Projectors, and Flipcharts are NOT provided as part of the standard a/v set up
Why are we changing from overhead projectors to LCD projectors?
The Academy is responding to the longstanding request for the new technology from attendees and presenters. In addition, audiovisual vendors are having a difficult time supplying enough overhead projectors to accommodate up to 100 concurrent sessions. The AOM annual meeting has also been known to deplete the entire supply of transparencies in a city (e.g. Honolulu).
Will laptops be provided for presenters?
No. Due to high costs and compatibility issues presenters must bring their own laptops. Since this is the first year of the initiative, you may receive more questions or requests from presenters about ordering a laptop or overhead projector for their session, especially from those who do not have a laptop or do not want to bring one When you get such requests, you can a) approve or deny the request based on your division's budget, b) advise the presenter to bring a laptop, or c) advise the presenter to coordinate with other presenters in the session to load the presentation on to one personal laptop in advance of the meeting or onsite.
How will we notify presenters about this change?
We will notify presenters about this change and inform them that they must bring their own laptop. We will advise them to use the speaker ready room at each hotel to ensure that their presentation is properly formatted. We will also advise that they arrive 15 minutes prior to their session in order to setup up the laptop and test the LCD projector. For those presenters who do not have a laptop or do not wish to travel with one, we will advise them to a) contact their session chair and coordinate with other presenters in the session to load the presentation on to one personal laptop in advance of the meeting or b) contact their division program or PDW chair to request a laptop or overhead projector.
Please note that if you grant any request for audiovisual equipment that is NOT included in the standard package as listed above, your division or interest group is responsible for the cost, and you are responsible for placing the order in advance. Therefore please carefully consider such requests and confirm with the requestor your final decision.
We are pleased to respond to the longstanding request for LCD projectors but we understand that there may be questions since this is something new to everyone. Therefore please do not hesitate to contact Jimmy Le, jle@pace.edu, if you have any questions. Thank you.
